Accessible PDF Creation Checklist

Document Structure

  1. Use built-in heading styles (Heading 1, Heading 2, etc.).
  2. Apply list styles for ordered/unordered lists.
  3. Ensure table headers are defined and avoid merged cells.
  4. Set a document title under File → Info → Properties → Title.


Text & Formatting

  1. Ensure clear, descriptive link text (avoid “click here”).
  2. Maintain sufficient color contrast (check WCAG AA standards).
  3. Avoid using color alone to convey meaning.


Images & Media

  1. Add alt text for all images, charts, and graphics.
  2. Mark decorative images as decorative in alt text settings.


Accessibility Check

  1. Run Review → Check Accessibility in Word.
  2. Resolve all flagged issues before exporting.


Export Settings

  1. Use File → Save As → PDF or Export → Create PDF/XPS.
  2. In Options, check:
    • Document structure tags for accessibility.
    • Include bookmarks for headings if needed.


Post-Export Verification

  1. Open PDF in Adobe Acrobat Pro or similar tool.
  2. Run Accessibility Check.
  3. Verify:
    • Tags are present.
    • Reading order is logical.
    • Alt text is retained.
